The Wedding Planning Timeline: What Exactly to Book and When

From the Venue to the Smallest Details, Here’s the Ideal Wedding Planning Timeline for Couples Getting Married in West Michigan

Planning a wedding is one of the most exciting seasons of life, but it can also feel overwhelming when you’re staring at a long list of decisions. One of the best ways to keep the process enjoyable and stress-free is by following a clear wedding planning timeline.

While every wedding is unique, most couples begin planning about 12–15 months before their wedding date. Below is a simple guide to what you should focus on during each stage of the planning process so everything falls into place smoothly.

12–15 Months Before the Wedding

Set the Foundation. This is when the big decisions begin. The earlier you tackle these, the easier the rest of the wedding planning timeline will be. Focus on:

• Setting your budget – Decide how much you want to invest in your wedding and who is contributing.
• Creating a guest list estimate – Even a rough number will help guide venue options.
• Choosing your wedding date – Flexibility with dates can open up more venue availability.
• Booking your venue – This is typically the first vendor couples secure.
• Hiring a wedding planner – A planner can guide you through every decision and help you avoid costly mistakes.

Once your venue is booked, the rest of your planning decisions will begin to fall into place. Struggling with deciding on a venue? Check out our blog post on the Top 10 West Michigan Wedding Venues, which includes spaces perfect for all styles and couples.

9–12 Months Before the Wedding

Book Key Vendors: Phase One of the Wedding Planning Timeline.

Now that you have a date and venue secured, it’s time to start booking the vendors who bring your vision to life. Consider booking:

• Photographer / Videographer
• Caterer (if not included with your venue)
• Wedding planner (more on the Forever and Always planning offerings here) or day-of coordinator (sometimes a day-of coordinator is included in your venue!)
• Florist
• Entertainment (band or DJ)
• Rental companies

Many of these vendors book a year or more in advance, especially for popular summer and fall dates. Check out our blog post we shared on an inside look into a few of the trusted professionals we consistently recommend to our couples in West Michigan.

6–9 Months Before the Wedding

Focus on design & details. Phase Two of the Wedding Planning Timeline

At this stage, the fun creative pieces begin to come together. This is a great time to:

• Choose your wedding dress and begin alterations
• Select bridesmaid attire
• Finalize your color palette and design vision
• Book hair and makeup artists
• Start planning décor and rentals
• Arrange transportation if needed

You may also want to begin thinking about your save-the-dates, especially if many guests are traveling. Save the dates typically go out eight months before the wedding day.

4–6 Months Before the Wedding

Send Invitations & Finalize Vendors. Your wedding is starting to feel real now. During this time:

• Order wedding invitations
• Finalize menu selections
• Schedule engagement photos
• Book honeymoon travel
• Order wedding bands

This is also a great time to start working on your ceremony details and timeline with your planner or coordinator.

2–3 Months Before the Wedding

Time to confirm the details! Phase Three of the Wedding Planning Timeline.

With just a few months to go, the focus shifts to confirming logistics and making sure everything runs smoothly. Tasks during this stage include:

• Sending formal invitations (typically three months out!)
• Creating your seating plan
• Scheduling dress fittings
• Finalizing your wedding day timeline with your planning team
• Confirming vendor details and contracts

A wedding planner can be especially helpful here, ensuring every vendor is aligned and prepared.

Final Month Before the Wedding

Relax and Enjoy the Moment. The final weeks should be about celebrating—not stressing. Focus on:

• Confirming guest counts
• Finalizing seating charts
• Breaking in your wedding shoes (we recommend you try them on at least two to three times!)
• Packing for your honeymoon
• Attending your rehearsal and rehearsal dinner

Most importantly, take time to enjoy this special season with your partner, family, and friends. These moments are meant to be cherished!
