What the Heck is a ‘Send In’?

As a wedding coordinator, I’ve had the privilege of witnessing countless love stories unfold, each one unique and beautiful in its own way. Among the many magical moments I’ve had the pleasure of orchestrating, the send-off holds a special place in my heart. It’s the grand finale, the crescendo of emotions, and the perfect conclusion to a day filled with love and celebration. In this blog, I’ll share insights and tips from a wedding coordinator’s perspective on creating unforgettable send-offs that leave a lasting impression on couples and guests alike.

Setting the Stage

The key to a memorable send-off begins long before the big day arrives. As a wedding coordinator, my role is to work closely with the couple to understand their vision, preferences, and priorities. Together, we brainstorm ideas, explore options, and tailor every detail to reflect their unique love story. Whether it’s a traditional send-off with rice or petals or a modern twist with sparklers or confetti, the goal is to create a moment that feels authentic and meaningful to the couple.

Planning and Preparation

Behind every seamless send-off is meticulous planning and preparation. As a wedding coordinator, I take care of all the logistics, from coordinating with vendors to arranging transportation and ensuring the timing is just right. Clear communication is key, both with the couple and with guests, to ensure everyone knows what to expect and where to be when the moment arrives. With careful attention to detail and a focus on execution, I strive to create a send-off that exceeds the couple’s expectations and leaves guests in awe.

Personalization and Customization

One of the most rewarding aspects of my job as a wedding coordinator is infusing each event with personal touches that reflect the couple’s personalities and love story. Whether it’s incorporating their favorite colors, incorporating elements that showcase their hobbies or shared interests, or adding meaningful details like customized signage or monogrammed sparkler tags, the possibilities are endless. By taking the time to truly understand what makes the couple unique, I can create a send-off that feels authentically theirs and leaves a lasting impression on everyone in attendance.

Coordination and Timing

Timing is everything when it comes to orchestrating a flawless send-off. As a wedding coordinator, I work closely with the couple to coordinate the timing of the send-off with the conclusion of the reception, or even after sunset photos (I’ll get to that), ensuring that guests are present and engaged. Clear communication and a well-thought-out timeline are essential to ensuring that everything runs smoothly and according to plan. By taking care of the details behind the scenes, I allow the couple to relax and enjoy the moment, knowing that everything is in capable hands.

To my point from above, you don’t HAVE to wait until the end of the night to capture the ‘send off.’ If your photo/video team leaves at 9p, how about doing a ‘send in’ where you can be greeted by your guests when you head back into the venue following your sunset photos? It is the perfect transition to start the party for the rest of the night and your guests are less drunk to accidentally cause a drunken fire with their sparklers. WIN WIN!

Capturing the Moment

As a wedding coordinator, I understand the importance of capturing the magic of the send-off for posterity. That’s why I work closely with the couple to ensure that their photographer and/or videographer are positioned to capture every heartfelt moment. From aerial shots capturing the grandeur of the moment to candid snapshots of heartfelt farewells, these photographs and videos become treasured mementos that the couple will revisit time and time again. By working together as a team, we can ensure that every precious moment is preserved for eternity.

Conclusion: A Grand Finale to Remember

In conclusion, the send-off is more than just a tradition; it’s a symbol of love, unity, and new beginnings. As a wedding coordinator, I take great pride in creating unforgettable send-offs that leave a lasting impression on couples and guests alike. By infusing each moment with personal touches, meticulous planning, and careful coordination, I strive to create a send-off that exceeds expectations and captures the true essence of the couple’s love story. So with that, remember, a send off, or even a ‘send in’ back from sunset photos CAN happen and in my opinion, is 100% worth it. To this day, my send off photos were some of my favorites from wedding day! The sparks in the back that lit up our smiling guests faces… you truly could ‘feel’ the magic illuminating from those photos! Case in point, it’s worth it!
